Custom builds

No app fits? We build it

A simple tool made for how your business works.

Who it’s for

For teams working around spreadsheets or apps that do not fit, or needing a way to find and use their own business knowledge.

What we set up

  • Internal dashboards
  • Booking or quote tools
  • Private AI for your files

From idea to handover

What we do

  1. Define the missing piece

We work through the job with your team and agree what the tool needs to do, who uses it and what data it needs.

  2. Try a working version

We build a focused version so you can test the process before adding more features.

  3. Check access and behaviour

We test with your team, agree who can see which information and check how the tool handles mistakes.

  4. Hand over and teach

You get the code, accounts and documentation for the work we build. We show your team how to use it and agree any ongoing care.

How it could work

Example use cases

Examples of tools built around a specific business process or the knowledge a team already holds.

Dental & medical

Medical practice: private ai

I can't put patient files into public AI tools.

AI that runs on your own computer. Files never leave the practice.

Trades & contractors

Builder: quotes

Writing quotes eats my evenings.

A quote form on your website drafts the quote for you to check and send.

Retail & online stores

Online store: competitor tracking

I never know when competitors change their prices.

We watch their websites and message you the moment a price or offer changes.

Professional services

Accounting firm: team know-how

Our know-how is stuck in videos and people's heads.

Saved videos and documents become notes your team can search and ask.

Custom builds

Questions owners ask

Do we really need a custom tool, or will an off-the-shelf app do?

Often an existing app is enough, so we check that first. A custom build makes sense when your process has a clear gap that no app covers.

We look at the spreadsheets, forms and apps you already use and find what they cannot do. Around 12% of Australian businesses reported using AI in 2024-25, so many are still working out where it fits (Australian Bureau of Statistics, 2026). Once the gap is agreed, we build a small working version before adding anything else.

Is it safe to put our customer information into an AI tool?

Not into free public AI tools. The privacy regulator, the Office of the Australian Information Commissioner (OAIC), advises businesses not to enter personal information, and especially sensitive information, into publicly available generative AI tools (OAIC guidance, updated 2025).

The Privacy Act applies to any business that uses AI with personal information. Before we build, we agree where your files are stored, whether the AI provider can use your data to train its models, and which people on your team can see what.

Who owns the tool, the code and our data once it is built?

You keep your business data and your business accounts. You also receive the code and documentation we create for you.

We confirm this in writing before work starts. We also explain which third-party platforms need their own accounts, so you know whose login sits behind each part of the tool.

How much does a custom AI assistant cost?

The cost depends on the tasks it handles, how many of your systems it connects to, and how much of your own information it needs to work from. We agree the scope and cost in writing before we build.

Off-the-shelf chatbot subscriptions are usually the cheapest start for simple questions. For anything custom, plan for ongoing care too, such as updates, checks and changes as your business grows.

How long does a custom tool take to build?

A focused tool with one job is usually a matter of weeks. Tools that connect to several systems take longer.

We start with a working version of one job, test it with your team, then add features. The timing depends on how quickly your team can share examples and give us the access we need.

Will the AI make things up?

It can, which is why we limit it to approved information and test it on real questions before your team relies on it. When the answer is not in your information, it should say so and pass the question to a person.

We test it on about ten real past questions or jobs and record every error. Your team checks the answers during the first weeks before it is used for customer-facing work.

Does my team need technical skills to use it?

No. Your team uses the tool in plain English, and we show them how it works and what to check.

Someone on your team needs to keep the information up to date, such as prices, policies and documents. We show that person how to make those updates.
